Fleet Maintenance Checklist
Maintenance work gets expensive when it lives in memory. A short written list — last service, open repairs, next due date — is enough for most small fleets to stop losing trucks to forgotten PMs.
What to keep on one page
- Unit number, current mileage, and last service date
- What is open: complaint, shop name, and whether an estimate exists
- Who is supposed to call the shop next, and by when
- When the truck is expected back, even if the date is a guess
A practical weekly pass
Once a week, walk the roster. Anything with an open work order gets a status. Anything coming due for service gets a date on a calendar you actually look at. You do not need a full shop software suite to do this. You need a list that does not disappear when a driver changes phones.
When a truck returns, file the invoice or shop notes with the unit number on them. Update the next due date before the paper hits a pile.
This is operational guidance for organizing work. It is not a required inspection procedure and not legal advice.
