How It Works

From Fleet Information to Daily Operations.

We establish a clear operating process around your fleet, organize the information your team needs, and provide remote operational support through a dedicated workflow and client portal.

01

Tell Us About Your Fleet

The first step is understanding how you operate — not a software demo. Share the shape of the fleet and where the list currently lives. After that conversation, we will tell you plainly whether we are a fit.

What you want help keeping organized

Not every fleet needs the same level of support. We start by understanding how yours operates.

02

We Set Up Your Operations Desk

After onboarding, your company is organized inside the Dayton Fleet Solutions workspace. You get a Client Operations Portal. Our fleet managers get assigned to the account. Vehicles, drivers, vendors, and open items are loaded so everyone is looking at the same book of work.

  • Client account created
  • Portal access established
  • Fleet information organized
  • Vehicles added
  • Drivers organized where applicable
  • Vendors and operational contacts organized
  • Open maintenance and issues identified
  • Existing requests and priorities documented

One Fleet.
Two Workspaces.
One Organized Operation.

The client sees what they need to see. Our team works from the operational side of the system.

Client Portal

Clients access operational information through a dedicated Client Operations Portal — vehicles, maintenance, documents, messages, and requests scoped to their company.

Employee Operations Desk

Dayton Fleet Solutions employees use a separate internal workspace for assigned accounts: tasks, requests, fleet monitor, maintenance follow-up, and the rest of the desk work.

03

We Run the List.

You run the business. We run the list. You still own and operate the fleet. Dayton Fleet Solutions provides remote operational support and organization from the Dayton, Ohio area — coordinating shops, tracking dates, taking requests, and keeping the work from living only in a group text.

Track open requests

Service requests from your portal land on the operations desk so they can be worked instead of sitting in email.

Follow up on maintenance

Open work orders, PMs, and shop status stay on a list until a unit is back in service or the next action is clear.

Monitor due dates

Compliance and inspection dates are tracked in the same workspace so they are visible before they become a Friday problem.

Coordinate with shops and vendors

When a repair or service needs follow-up, we work the vendor contact that belongs to the item — we do not take over your shop.

Organize documents

Operational files that belong with the fleet can live in the portal instead of a glovebox or a personal inbox.

Keep the owner informed

Items that need a decision are escalated. Routine follow-up stays on the list so you are not chasing every ticket.

What Happens When a Truck Needs Attention?

A realistic path through the workspace. We coordinate and track. We do not physically repair vehicles, dispatch emergency services, or make owner decisions for you.

  1. 01

An issue or request is identified.

It may come from you, a driver, a shop update, or something already on the desk.

  2. 02

The item is documented and assigned.

It is written into the workspace and given to the person who should work it.

  3. 03

    Follow-up is started.

The right contact — your team, a vendor, or our desk — is looped in. We do not repair the truck ourselves.

  4. 04

    Status is tracked.

Notes, dates, and the next action stay with the record so the item does not disappear.

  5. 05

You are kept informed when it matters.

Owner-level decisions and material updates are communicated. Not every shop call needs a meeting.

  6. 06

The item is closed or stays visible.

Completed work is closed. Open work remains on the list until it is resolved or cancelled.

Your Fleet. Your Portal. Your Visibility.

Clients have a dedicated portal to stay connected with fleet operations. The preview below is sample layout only — it does not show a live account.

Clear Responsibilities. Clear Communication.

This is how the work is divided in practice. It is not a contract and it does not create legal duties beyond the agreement you sign with us. Dayton Fleet Solutions is a remote operations support company. We do not own your fleet.

Dayton Fleet Solutions

  • Operational follow-up on open items
  • Task organization on the operations desk
  • Maintenance tracking and shop coordination
  • Documentation organization in the portal
  • Request intake and routing
  • Day-to-day communication about the list
  • Keeping fleet information current in the workspace

Fleet owner / client

  • Final business decisions
  • Vehicle ownership and operating authority
  • Driver hiring, discipline, and employment decisions
  • Approving repairs and expenses when a decision is required
  • Providing accurate fleet information to start and stay current
  • Any authorization that belongs to the owner of the company

04

Stay Connected. Keep Moving.

Onboarding is not the end of the process. The goal is an ongoing operational workflow in the same portal you log into after setup.

  • Open items remain visible
  • Tasks can be tracked on the operations desk
  • Maintenance information can stay organized
  • Requests can be followed up
  • Documents can remain accessible
  • Messages stay in one place instead of a group text
  • Owners can review the same book of work we work from

The Day-to-Day Experience

An example of how the desk typically works a day. It is not a guarantee that every client receives this exact schedule.

  1. Morning

Review open items and upcoming priorities.

What is down, what is due, and what needs an owner decision.

  2. Throughout the day

    Work requests, follow-ups, and coordination.

Maintenance items, vendor calls, and operational tasks move on the list.

  3. When an issue appears

Document it, route it, and follow up.

The item is written down and assigned — not left in a chat thread.

  4. End of day

    Leave outstanding items organized.

Tomorrow starts from a visible list, not from memory.

Frequently asked questions

How do I get started?

Tell us about your fleet — units, how you operate, and what is falling through the cracks. We will say plainly whether Dayton Fleet Solutions is a fit before anyone sets up an account.

What information do you need from my fleet?

Enough to organize the desk: vehicles, where they run, drivers if you use them in the portal, vendors, open maintenance, and the documents or dates you want tracked. You do not need a perfect file to begin, but the list is only as good as what is loaded.

Do I get my own client portal?

Yes. Each company gets a Client Operations Portal login. Dayton staff work a separate employee desk on the same platform, scoped to assigned accounts.

Can I see my fleet information through the portal?

Yes. The client portal includes a dashboard, vehicles, drivers, live fleet map, maintenance, compliance, fuel and expenses, safety and incidents, reports, documents, messages, and team access. The map uses recorded status in the system, not a live GPS feed we invent.

Who handles the day-to-day operational follow-up?

Dayton Fleet Solutions fleet managers work the list from the employee operations desk during business hours. You still own the company. We work the operational details you hire us to keep organized.

Do I still control my fleet?

Yes. You own the trucks and make the business decisions. We provide remote operational support and a shared workspace. We do not take title, operating authority, or the right to spend your money without your say.

What happens when a vehicle needs maintenance?

The item is documented as a work order or request, assigned, and followed up with the shop or vendor on file. Status stays in the portal. We coordinate and track. We do not physically repair the vehicle.

How do I communicate a request to Dayton Fleet Solutions?

Use the Client Operations Portal: send a message or open a new service request from the dashboard. Those items show on our operations desk so they are not lost in a personal inbox.

Can my employees use the portal?

Company account admins can invite people on your team through Team & Access, with roles such as administrator, manager, or viewer. Dayton employees use the separate Employee Operations Desk. Driver logins, when used, are limited to the work those accounts are allowed to add.
