Fleet Documentation Guide
Paperwork is not the job. Finding the right page when a truck is sitting is. Most fleets need a small, current set of files — not a filing cabinet of everything ever printed.
A useful core set
- A current roster: unit number, year, make, plate, and who usually drives it
- Driver and vendor contact lists that someone besides the owner can open
- Per-unit reminders for registration and inspection dates you already track
- Maintenance history you can actually search: date, shop, and what was done
- A place for breakdown and incident notes with the unit number on them
How to keep it from rotting
Name files with the unit number first. When someone leaves, update the contact list the same week. If a document exists only in a cab, note that on the roster so you are not hunting a glove box at 6 a.m.
Digital copies help when the owner is not in town. Cab copies help the driver. You do not have to pick one format if both are listed in the same index.
What you are required to keep depends on your operation and jurisdiction. This guide is general educational information, not legal or regulatory advice.
